Payment gateway

Where: Payments → Payment Gateway

The account that receives money from this event: entry fees, merchandise and donations.

Choosing a credential

Credentials are held in a shared library, so an organisation running several events connects the account once and selects it per event.

Pick the one that belongs to the entity that should receive this event's money. When you switch an event to a different credential the platform asks you to confirm, because it is changing where funds arrive.

Test and live credentials look identical on screen

The difference between a test account and a live one is not visible at a glance. An event left on a test credential takes registrations happily and receives no money at all — the payments succeed, and the funds are imaginary.

If your event was created from a template or duplicated from another, assume nothing and verify.

The webhook secret

Your payment provider calls back to confirm a payment succeeded. That callback is signed, and the signing secret goes here.

Without it, a participant can pay successfully at the provider and have the platform never learn about it — so they are charged, and their registration does not complete. It is the classic cause of "I paid but I am not registered".

Use Edit keys / webhook secret to add it. The screen warns you when no signing secret is set; do not launch past that warning.

Verifying before launch

Do all four, in order:

  1. Register from the public site — not the admin panel — with a real card.
  2. Confirm the charge appears in your payment provider's own dashboard, in the account you expect.
  3. Confirm the transaction appears in Transactions here.
  4. Confirm the participant appears in Participants.

Step 2 is the one people skip, and it is the only step that actually proves where the money went.

Changing the account mid-event

Possible, and occasionally necessary. Understand that payments taken before the change went to the old account and payments after go to the new one, so your reconciliation splits across two accounts from that moment.

Note the date and time you switched. You will need it.
